I just sort of got the free time in between classes or after school for the committee meetings.
For all 3 groups:
- Monday before 6
- Tues 12-1, and 4-6
- Wedn 1-5
- Thurs 1-2
- Fri 12-6
Sorry, New Media classes are tight ^^” I think the meetings don’t need to be long, mostly just 1 hour to decide on the tasks and theme.
I think for the first meeting, everyone needs to be there, and then if the committee itself agrees, they can choose their reps and meet later. We four need to have meetings once a while as well, so we’re aware of most of the things happening in each committee, and to update our own group.
Things need to be decided for each committee: (read more inside)
Website & Print:
- Theme of the invitation
- Timeline, and task allocation
- Domain name, and hosting
- Printing
Email & Invitation:
- Task allocation
- Timeline
- Compose an initial letter, and everyone need to be familiar with the event detail
Marketing:
- Proposing letter
- Come up with companies providing good/attractive/useful door prizes
- Other sponsors
- Connect with website/print to help in sponsorship promotion
Layout:
- Arrange the time to and look at the venue
- Equipment needed by each group
- Venue decoration ideas
- Group distribution
- Set up / Clean up crew
Others:
- Event rundown
- Catering
- MC
- Transit, parking info
- How many people attending?
Let me know if I have missed anything. ^^ We need to arrange 4 meetings first, Web&Print, Layout, Email&Invitation, and Marketing. Can each of you vote on the time, and I will send out info later tomorrow? (let’s assume no meeting on Monday then

I’m thinking about opening up specific blog posts for each committee, so they have one common place to chat about things, and everyone can get update as well. What do you guys think?
My vote:
Web&Print: Tues 4:30-5:30
Layout: Email to arrange a time to go down to the venue, then there we have a meeting.
Email&Invitation: Thurs 1-2
Marketing: Thurs 5-6

I can only make tuesday and thursday times because I am at my internship all the times we do not have class=( I an cme to the marketing or web and print meeting if that helps!

OK, I’ve changed the time from Wedn to Thurs. =) Though it’s between lunch hour. Hopefully it works.
